Privacy Policy
What DocWise.ai collects, how your documents are processed by AI models, and how long anything is kept.
Last updated: 2026-10-31
DocWise.ai ("DocWise", "we") translates documents with AI. This policy explains what we collect, what happens to the files you upload, and the choices you have. Questions: [email protected].
Your documents
- What we receive. The files you upload (PDF, Word, EPUB, subtitles, Markdown, text) and the translations we produce from them.
- What we do with them. We use them only to produce the translation you asked for: parsing, translation, quality checks, rendering the output files and the side-by-side viewer.
- No training. We never use your documents or translations to train or fine-tune any model, and we do not let our AI providers do so (see below).
- Who can see them. Only you. Our staff do not open documents, except when you ask us to look at a specific job in a support request, or when the law requires it.
- How long we keep them. Free plan: 7 days. Paid plans: 30 days. Then the source file, the outputs and the viewer data are deleted automatically. You can delete a document at any time from your library; deletion removes the source, every output and the engine's working copies. Details: Data retention.
AI processing and zero data retention
We call large language models through OpenRouter and require zero data retention on every request: requests are only routed to inference endpoints that commit not to store prompts or outputs and not to train on them (currently Google Vertex AI and Amazon Bedrock). OpenRouter does not keep these prompts or outputs after processing. Like other providers, OpenRouter screens traffic in transit for child sexual abuse material and may preserve data where the law requires.
Account and billing data
- Account. Email address, name, and sign-in method (email and password, or Google). Passwords are stored only as salted hashes.
- Payments. Handled by Stripe. We never see or store your full card number; we keep order records (product, amount, date, status) and the credit ledger.
- Usage. Which formats and languages you translate, page counts and credits charged, so we can bill correctly and decide which formats to improve. We do not record the content of your documents in analytics.
- Technical data. IP address, browser and device type, and error reports (via Sentry). Error reports are configured to exclude request bodies and document text.
- Email. We send account emails (verification, password reset) and a notice when a translation is ready, through our email provider. No marketing email without your consent.

We do not sell personal data and do not share it for advertising.
Cookies
Essential cookies keep you signed in and remember your language. Optional analytics cookies are used only after you accept them in the cookie banner.
Your rights
You can access, correct, export or delete your account data, and delete any document at any time. Deleting your account deletes your documents and translations; we keep payment records as long as tax law requires. Write to [email protected]; we answer within 30 days. If you are in the EU/EEA or UK you may also complain to your data protection authority.
Security
Files travel over HTTPS, are stored in a private bucket, and are only reachable through short-lived signed links issued to your account. The translation engine is not exposed to the internet and only accepts signed requests from our application.
Changes
We will post changes here and update the date above. Material changes are announced by email before they take effect.
